Bookkeeper (up to 6 hours/week)
Kelowna Unitarians is seeking a part time Bookkeeper (six hours per week) to begin the second week of June 2025. Schedule to be determined by Kelowna Unitarians and successful applicant.
Job Overview
​We are seeking a detail-oriented and organized Bookkeeper to join our team. The ideal candidate will be responsible for maintaining accurate financial records, managing accounts, and ensuring compliance with financial regulations. This role is crucial for the smooth operation of our financial processes and will involve working with various accounting software, including Power Church and Sage. If you have a passion for numbers and a strong understanding of bookkeeping principles, and are comfortable in a liberal religious environment, we encourage you to apply.​

Working Conditions

This is a part-time, 6 hour per week position, days and times of work are flexible, and will be determined based on mutual agreement.

Work is primarily performed in the KU Church office, with some duties able to be completed off site.

Kelowna Unitarians is part of the Kelowna Cultural District, short walk to coffee shops, restaurants, art gallery, beaches and boardwalk, free employee parking is available. KU, being situated close to the downtown area, finds unhoused people frequently present on the property. Applicants must be able to work in such an environment and be able to communicate with individuals clearly, respectfully, and without undue personal stress.

Bookkeeping Duties
-
Perform account reconciliation to ensure accuracy in financial records.

Manage accounts receivable and accounts payable processes efficiently.

Process payroll accurately and in a timely manner.

Maintain general ledger entries and assist in month-end closing procedures.

Prepare financial statements and reports as needed for Board review.
-
Utilize accounting software such as Power Church or Sage to manage financial data effectively.
-
Assist in budgeting processes by providing necessary financial information.
-
Collaborate with Church Board, Staff members, and Committee Chairs to ensure accurate financial reporting and compliance.

While in the office, the Bookkeeper will be expected to be the face of Kelowna Unitarians and to ensure a welcoming environment for visitors and congregation members.​​
Requirements
-
A certificate in Bookkeeping is required; an Associate Degree in Accounting, Finance, or a related field is preferred but not required.

A minimum of 3 years of bookkeeping experience, preferably in a non-profit or church environment, experience with budgeting, financial reporting, and audit/financial review coordination, and familiarity with church or non-profit fundraising activities

Strong knowledge of accounting principles and practices.
-
Proficiency in accounting software, particularly Power Church and Sage.

Experience with account reconciliation, payroll processing, accounts receivable, and accounts payable.

Excellent attention to detail and organizational skills.
-
Ability to work independently as well as part of a team.

Effective communication skills, both verbal and written.

Strong analytical skills with the ability to problem-solve effectively.

Acceptance and acknowledgement of the principles and values of the Unitarian faith.

Office Administrator (up to 6 hours/week)
Kelowna Unitarians is seeking a part time Office Administrator for six hours per week to begin the second week of June, 2025.
Job Overview
The Office Administrator position involves coordinating various aspects of church life, including membership management, building care, and shared management of rentals in cooperation with our Bookkeeper and Community Development Manager. The Office Administrator supports The Board, and church committees to prepare for meetings and Sunday Services and ensures Church compliance Canadian Unitarian Council, and BC Societies Act requirements.
This role requires a highly organized, detail-oriented, flexible, and proactive individual who can manage diverse tasks efficiently and effectively with an attitude of curiosity and respect.
While in the office, the Administrator will be expected to be the face of Kelowna Unitarians and to ensure a welcoming environment for visitors and congregation members.

Administrative and Office Assistant Duties
-
Oversee the day-to-day operations and management of the church office and ensure a welcoming environment for visitors and congregation members.

Perform day-to-day administrative activities of the church.
-
Make purchases as needed to maintain church supplies.
-
File relevant reports and documents with the Societies Act office when directed by Societies Act Office to do so. (within 30 days after AGM)

Maintain accurate records of church activities.

Manage the calendar of church rentals and facility usage,
-
Maintain and update church records, including registries, phone listings, membership listings, Church directory, CUC contacts, and other databases
-
Assist with preparation for Church EGM(s) and annual AGM:
-
Print Order of Service for each Sunday of the church year.
Membership Management
-
Maintain database of members, friends, guests (from application forms and guest registry)
-
Maintain nametags for members, friends, and frequent guests
-
Bi-annually update, print and distribute directory.

Submit KU membership statistics to Canadian Unitarian Council and pay CUC recommended dues for each member
-
Send out new members packages when requested to do so by the Board (or Membership Committee)

Rentals Management
-
Following the KU Rentals Policy and in collaboration with the Community Development Manager and KU Bookkeeper, oversee the rental of church facilities, including scheduling, contracts, and ensuring the facilities are well-maintained and ready for use.

Serve as the primary point of contact for individuals and groups renting church facilities, ensuring a positive experience.
-
Handle billing and collections for rentals, maintaining accurate records of rental income and agreements.
Qualifications and Skills
Certificate in Office Administration (or similar certification and/or related experience)

We require:

Previous experience with administration and office management duties, membership and rentals management, and customer relations, preferably within the context of a church or non-profit setting.

Strong organizational, communication, and interpersonal skills; proficiency with and/or ability to quickly learn software such as Microsoft Office Suite, Google Drive and Docs, and Power Church.

Good communication skills, verbal and written, and the ability to relate easily with the diverse KU community and with the public.
-
Ability to manage multiple tasks and prioritize effectively.
-
Ability to work with limited supervision while maintaining high standards of accountability.
-
Willingness and enthusiasm for developing and learning new systems, processes, software, etc.

Personal Qualities such as Integrity, discretion, patience, and acceptance of diversity. Acceptance and acknowledgement of the principles and values of the Unitarian faith.
